Statement Letter Policy

General Policy

OMNICODE Journal operates under a fully digital, transparent, and automated editorial workflow. Consequently, the journal does not issue any manual, physically signed, or stamped statement letters of any kind to authors or their institutions.

 

Rationale

This policy is established to ensure efficiency, consistency, and absolute transparency in our publication process. We maintain that the automated tracking system and the final, DOI-registered published article serve as the most accurate, secure, and internationally recognized proof of a manuscript's status.

 

Types of Letters Not Provided

To avoid any ambiguity, please note that OMNICODE Journal will not provide:
1. Letter of Acceptance (LOA) / Certificate of Acceptance
2. Letter of Submission / Manuscript Submission Receipt
3. Letter of Review / Certificate of Peer Review Completion
4. Any other custom administrative letters requested by authors or their affiliated institutions.

 

Official Record of Manuscript Progress

Instead of manual letters, the Open Journal Systems (OJS) serves as the official record of your manuscript's journey. Throughout the editorial process, authors will receive automated, system-generated, and timestamped email notifications directly from OJS. These emails (e.g., "Submission Acknowledgement", "Review Completed", "Copyediting Completed", "Accepted") constitute the official communication regarding the status of your manuscript. Authors are advised to retain these automated emails for their personal records.

 

Definitive Proof of Publication

As outlined in our Publishing Policy, once a manuscript is accepted and processed, it is published online immediately under our Continuous Publication model. The live article webpage, complete with its assigned Volume, Issue, Page Numbers, and permanent Digital Object Identifier (DOI), is the definitive, legally and academically recognized proof that the work has successfully passed blind peer review and is officially published.

 

Institutional Verification

If an author’s institution (e.g., university, funding agency) requires formal verification of a manuscript's status or publication, we strongly advise the author to direct the institution to the official OMNICODE Journal website. The article’s metadata and DOI can be independently and instantly verified by any third party through the official DOI resolver (e.g., doi.org).
